Subtrade Work Policy

This Subtrade Work Policy forms part of the Site Work Order. By signing the Site Work Order, accepting the work, or starting work on site, the subtrade confirms they understand and agree to this policy.

1. General Work Requirements

All subtrade work must be completed in accordance with: project drawings, specifications, site instructions, building code requirements, safety rules, manufacturer requirements, and accepted construction standards. The subtrade is responsible to provide qualified workers, proper tools, equipment, and supervision required to complete the assigned work. All work must be done properly the first time. Poor workmanship, unfinished work, wrong installation, or work not following instruction must be corrected by the subtrade at their own cost.

2. Payment Term

The subtrade must submit their invoice by the 25th day of each month for work completed during that month. Invoices submitted after the 25th may be processed in the next billing cycle. Payment will be reviewed based on approved completed work, approved time sheets, required backup documents, deficiency status, and any applicable backcharges or deductions. Payment may be held, adjusted, or delayed for:
  • Incomplete work
  • Defective work
  • Missing backup documents
  • Unapproved hours
  • Unapproved extras
  • Disputed charges
  • Backcharges
  • Damage caused by subtrade
  • Failure to follow this policy

3. Hourly Work and Non-Payable Rework

For hourly work, payment is only for productive work approved by the company. Time used to fix the subtrade's own mistakes is not payable. This includes time spent correcting: poor workmanship, incomplete work, wrong installation, damaged work, work rejected by site supervisor, work rejected by consultant or inspector, and work not following drawings or instruction. The subtrade must correct their own defective work at their own cost, including labour, material, tools, equipment, transportation, disposal, and supervision.

4. Daily Work Records

For hourly work, daily time records must be submitted and approved. Time records must include: worker name, date, start time and finish time, break time, work location, work description, and site supervisor approval/signature. The company may reject unclear, inflated, duplicated, excessive, or unapproved hours.

5. Change Orders and Extra Work

No extra work, additional charge, change order, remobilization charge, standby charge, or additional manpower cost will be paid unless approved in writing before the work starts. The subtrade must notify the company before doing any work that may create extra cost. Verbal site discussion does not automatically approve extra payment.

6. Deficiencies and Backcharges

If defective or incomplete work is found, the subtrade must correct it within the time requested by the company. If the subtrade fails to correct the work, the company may use other workers or trades to complete or correct the work. All costs may be backcharged to the subtrade and deducted from payment. Backcharge costs may include: labour, material, equipment, supervision, disposal, administration, schedule impact, general contractor backcharge, and owner or consultant related cost.

7. Site Safety and Conduct

All workers must follow site safety rules, PPE requirements, site access rules, housekeeping rules, and instructions from the site supervisor or project manager. The subtrade is responsible for their workers' conduct. Unsafe work, fighting, alcohol, drugs, theft, damage, harassment, or refusal to follow instruction may result in removal from site.

8. Damage and Protection of Work

The subtrade is responsible for protecting their own work and avoiding damage to other work. Any damage caused by the subtrade or their workers may be repaired by the company or others, and the cost may be deducted from the subtrade's payment.

9. Material and Tools

Unless agreed in writing, the subtrade is responsible for their own tools, small tools, equipment, and consumables required to complete their work. Company-supplied materials must be used properly. Waste, misuse, loss, or damage may be charged back to the subtrade.

10. Workmanship Standard

Work must be completed to professional construction standards and must be acceptable to the company, general contractor, site supervisor, consultant, inspector, and applicable authority. The subtrade must not leave unfinished, unsafe, or unacceptable work for the next trade.

11. False Records

False, inflated, duplicated, or misleading time sheets, invoices, quantities, or material claims may result in rejection of payment, deduction, removal from site, or termination of work.

12. Agreement

By signing the Site Work Order, accepting the work, or starting work on site, the subtrade confirms they understand and agree to this Subtrade Work Policy.
